Strategic Marketing Campaign Project

This consulting project developed a strategic marketing campaign for the Glebe Youth Service (GYS). The primary objective was to secure long-term funding for GYS. This project was successfully delivered despite a Scope Change introduced by the Project Sponsor.
 

Executive Summary

The project, originally intended to create an online auction platform, transitioned to a donor engagement strategy for Glebe Youth Service to pivot to a strategic and sustainable long-term donation strategy. Despite the scope change and a tighter timeline, the project achieved its goals through effective change management and strategic planning.

The project's objectives and success measures were reassessed following the pivot in strategy:

  • Objectives: Develop a sustainable donation strategy for GYS.

  • Success Measures: Sponsor sign-off on deliverables, achieving 80% satisfaction in promotional content, and adherence to the revised timeline.
     

Project Timeline and Gantt Chart

The Gantt chart highlights the baseline versus actuals for project tasks. Despite some delays, the project was completed only four days behind schedule, without compromising the overall goals.
 

Resourcing and Budget

A detailed analysis of resource allocation and budget adherence reveals:

  • Resource Utilisation: The actual man-hours deviated from baseline projections due to expedited task completion and extended sponsor approval times.

  • Budget Management: The project stayed within budget, due to a comprehensive change control cycle that swiftly managed scope changes introduced by the sponsor.
     

Risks and Issues

A comprehensive risk assessment and mitigation strategy were employed:

  • Risk Matrix: Identified potential risks, their likelihood, and impact.

  • Mitigation Plans: Implemented proactive measures to address and reduce risks.

  • Issues Register: Documented and managed throughout the project.
     

Governance and Change Control

The project's success was underpinned by a structured governance framework and rigorous change control process:

  • Governance Structure: Defined roles and responsibilities, ensuring clear oversight and decision-making pathways.

  • Change Control: Implemented a robust process to manage change requests, ensuring alignment with project objectives.
     

Post-Implementation Review (PIR)

The PIR outlines the lessons learned and provides recommendations for future projects:

  • Key Lessons: Importance of adaptability, effective stakeholder engagement and thorough planning.

  • Recommendations: Emphasise continuous improvement, proactive communication, and detailed risk management.
